1 - Why did you create a different database for each pay cycle?
This was a way of cutting cost to the potential customer. Many people purchase software and never ever utilise all it features. This approach allow the customer to purchase just what they need. Additionally provision was made for customers who needed all three database to purchase them at a price no greater than the average going price for similar products.
2 - Does the payroll programs have its own backup utility?
No, you can use any backup utility program available or you can simply copy the data to some form of removable media. Backup should be done after every payroll update and before using the housekeeping menu.
3- What should I do if I update the payroll in error?
Select 'Housekeeping' from the Main menu, then select 'delete data and start new year', enter the 'beginning month#' and the 'ending month#' when requested and click 'OK' when done. Return to the Main Menu and update the same pay week again. Alternatively, you could restore the backup for the previous pay cycle. I prefer this option as not every user will have access to the housekeeping menu and that menu should not be used arbitrarily.
4 - Can more than one user access the payroll at the same time?
The program is a Microsoft Access database and supports multi-users. This is the default setting for Access. This setting can be found under Tools/Options/Advanced/Default open Mode/Shared.
5 - Can multiple companies’ payroll be done on the same computer?
If you are going to prepare payrolls for separate companies you would use a different database for each company.
6 - How can I know the last pay week, fortnight or month that was updated?
Firstly you should check the hard copy of the pay advice or Payroll journal that was done for the previous payroll or you could run any one of the reports on the sub-menu for 'Annual Returns -Statutory'.
7- When is it OK to delete an employee from the Payroll Master File?
Employees should only be deleted after the annual returns have been done and before the first payroll is done for the New Year. The ex-employee information is needed for the annual returns.
8 - Can the database be used in all versions of Microsoft Access?
Yes, but you need to indicate the version of Access that is loaded on your PC before delivery of the database.
9 - Can I secure the payroll database?
Yes. We recommend that you customize the Microsoft Access security file that we supply with the database. Administering this file along with the 'shift key' bypass security embedded in the database should provide adequate security for all users.
10 - How soon after purchase can we start using the payroll?
You can start using the file right away. If you start using the file after the year has started, the year-to-date figures will not be correct until you enter the data for the earlier months. You can start use it to calculate current pay however.
11 - Can any special customizing be done to suit a specific organization?
Generally, the payroll will prove adequate for all organizations but we have made special adjustments for organizations that have unique pre-tax deductions. The program is supplied with seven deductions fields and these are usually sufficient to meet the needs of customers.
12 - Do I need special training in order to use the payroll program?
No special training is required. Once the files have been installed, a user with previous computing experience will need no more than 1-2 hours to master the payroll process. Some have done it over the telephone, while others have learned the procedures via email.
13 - What arrangements have been made for help and support?
Help is available via telephone, email and personal visits and our website. These details are available in the user manual supplied with the program.
14 - How do we enter a new loan in the 'Payroll Input Form'?
The new loans are entered as negative values. If the employee has a current loan the new loan should be netted against the deduction for the old loan. You should remember to adjust the deduction for the next pay cycle in order to avoid an overpayment.
15 - I cannot get the payroll to calculate the net pay?
Make sure you entered a salary and the 'Tax Free Pay'. No calculations will be done if these figures are not present.
16 - If the government changes the amount of the 'tax threshold', will we be able to make the adjustments ourselves? You will be able to change the tax free pay. The only data that you cannot change is the N.H.T, N.I.S., Ed. Tax and H.E.A.R.T. We will make these changes during the warranty period free of charge. After we reserve the right to charge a small fee to cover shipping, delivery and the media used to pass on the changes etc.
